Your privacy matters. This policy explains what information ServicePulse AI collects, how we use it, how we share it, and what choices you have.
1. Information We Collect
A. Information You Provide: Name, email address, phone number, company name, business address, trade/industry, service area, operating hours, website URL, business goals and challenges, onboarding responses, support requests, form submissions, preferences, and billing contact information.
B. Information Collected Through Free Tools and Reports: Data submitted through Revenue Leak Report, Site Vitals, Business Health Score, Missed Call Calculator, ROI Calculator, and other forms, audits, or resource tools — including website URL, city/state, estimated lead volume, missed-call estimates, average job value, close-rate assumptions, advertising spend, self-assessment responses, and public website and search signals.
C. Information Collected Through the Platform: Leads and customer contact information, SMS/email conversation history, call records, recordings, or transcripts where enabled, appointment or scheduling data, CRM/pipeline data, job, estimate, invoice, and payment status data where enabled, review request activity, dashboard usage, workflow and automation logs, and integration data from connected third-party tools.
D. Automatically Collected Information: IP address, browser type, device information, pages visited, session duration, referring URLs, cookies and similar technologies, analytics events, and feature usage.
E. Payment and Billing Information: Payment information is processed by Stripe or other payment processors. ServicePulse AI does not store raw payment card numbers on its own servers.
2. How We Use Information
We use information to: provide, maintain, secure, and improve the platform; generate free tools, audits, reports, calculators, and recommendations; configure Implementation & Launch; support lead capture, missed-call response, follow-up workflows, review requests, dashboards, operations workflows, and reporting; provide Site Vitals diagnostics and visibility insights; provide Revenue Leak Report and Business Health Score outputs; support AI-assisted communication and workflow automation; process payments and billing; provide customer support; communicate about account, service, billing, security, or product updates; detect fraud, abuse, technical issues, and security threats; comply with legal obligations; and analyze aggregate or de-identified usage to improve platform quality.
3. AI, Automation, and Data Use
ServicePulse AI may use AI-assisted tools to classify leads, draft or send messages based on configured workflows, summarize conversations, recommend next steps, generate reports, and support business automation.
We may use customer data as needed to provide AI-assisted features for that customer's account.
We do not sell customer conversation data.
We do not use customer-specific conversation content to train third-party AI models.
We may use aggregated or de-identified usage patterns to improve platform performance, templates, workflows, reporting, and product quality.
AI outputs may be inaccurate or incomplete. Customers are responsible for reviewing configurations, monitoring AI behavior, and using human oversight where appropriate.
4. SMS, Email, and Call Data
SMS: SMS conversation data is used to provide messaging, lead response, follow-up, review request, reminder, and automation features configured by the customer.
Email: Email data may be used to send account messages, workflow messages, notifications, reminders, marketing communications, or customer-approved email workflows.
Calls and AI Voice: If AI voice, call recording, or transcription features are enabled for your account, calls may be recorded or transcribed for service delivery, quality review, support, compliance, and platform improvement, subject to applicable law and configuration.
Call recording consent requirements vary by jurisdiction. Customers are responsible for ensuring their use of call recording, AI voice, and phone workflows complies with applicable law.
5. Data Sharing
We do not sell personal information.
We may share information with service providers needed to operate the platform, which may include: hosting and database providers; SMS/voice providers such as Twilio; payment processors such as Stripe; email providers; analytics providers; AI infrastructure providers; scheduling/calendar providers; CRM or integration platforms; advertising or tracking platforms where connected; support and error-monitoring tools; and contractors or service providers assisting with implementation, support, or scoped services.
We may disclose information if required by law, to protect rights and safety, to enforce agreements, to prevent abuse or fraud, or in connection with a business transaction such as merger, acquisition, financing, or sale of assets.
6. Third-Party Integrations
If you connect third-party services such as Google, Meta, Stripe, Twilio, calendar tools, CRMs, website platforms, analytics tools, or other systems, ServicePulse AI may access and process data from those services as authorized by you.
Third-party services have their own privacy policies and practices. ServicePulse AI is not responsible for the privacy practices of third-party platforms.
8. Data Retention
We retain information for as long as needed to provide the Service, maintain records, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud, and support legitimate business purposes.
Account and billing records may be retained for legal and accounting purposes. Communications data may be retained based on plan, configuration, provider limitations, or legal needs. Call recordings and transcripts may be retained for limited periods based on account settings or provider capabilities. Backups may retain deleted data for a limited period.
When your account is terminated, we will delete or anonymize information within a reasonable period, unless retention is required by law, billing, security, dispute, or compliance requirements.
9. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information, including: encryption in transit and at rest, access controls, authentication, role-based permissions, dependency vulnerability scanning, monitoring, and provider security controls.
Built on infrastructure providers with established security and compliance programs, including SOC 2 controls where available.
No method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
10. Communication Compliance
ServicePulse AI provides tools designed to support responsible SMS and phone communications, including opt-out handling, consent tracking where configured, and message controls.
Customers are responsible for ensuring that their use of the platform complies with TCPA, call recording laws, telemarketing laws, and other applicable communication laws.
ServicePulse AI provides unsubscribe and email identity tools designed to support CAN-SPAM compliance. Customers are responsible for the content and recipient lists they upload, configure, or approve.
11. Your Rights and Choices
Depending on your location and applicable law, you may have rights to: access your personal information; request correction of inaccurate information; request deletion subject to retention requirements; request data portability; opt out of marketing communications; opt out of sale or sharing where applicable; limit certain uses where applicable; unsubscribe from emails; and reply STOP to SMS where applicable.

12. California and State Privacy Rights
If you are a California resident or resident of another state with applicable privacy rights, you may have rights to request access, correction, deletion, portability, and information about categories of personal information collected, used, or disclosed.
We do not sell personal information.
We do not knowingly sell or share personal information of individuals under 16.

13. Children's Privacy
The Service is not intended for individuals under 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child under 18, we will take steps to delete that information promptly.
14. International Users
ServicePulse AI is operated from the United States. If you access the Service from outside the United States, your information may be processed in the United States.
15. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the Service prior to the changes taking effect.
